• Creating and submitting monthly progress report (MPR) for TINS project to headquarters for the review & approval of Project Manager. • Custodian to the project petty cash, handling & maintaining daily purchases and expenses of the project. • Submitting weekly petty cash balance report to the Project Manager & monthly petty cash report to the Finance Manager based at the headquarters. • Providing logistics support to the project as well as our clients BAE as and when required. • Creating weekly timesheets on SAP and submitting to HR coordinator present at headquarters. • Submitting manpower report on a monthly basis to the project coordinator present at headquarters. • Managing timely service and maintenance of all the vehicles present in the project, tracking vehicles providing logistical support as well as assigning drivers as well as any other assistance provided for transportation – Fleet Management. • Submitting monthly vehicle report to the headquarters at the end of every month. • Assigned Camp Boss to the project accommodation, managing all the affairs related to the camp like service and maintenance, repairs, supply of consumables, laundry, sports club safety & security as well as maintaining a neat & clean environment at the project accommodation facility. • Supervising the warehouse, taking care of local purchase as well as procurement, reviewing 3 quarterly warehouse reports and submitting it to project coordinator at the headquarters. • Conduct physical inventory at the end of every quarter. Prepare a reconciliation statement of the warehouse inventory and submit it to the Project Manager at Headquarters after every quarterly period. • Forecast demand and supply by studying monthly issuance as well as coordinate with supervisors from various sections HVAC, Mechanical, Civil, Cleaning, and Electrical. • Keeping a track of FMCG commodities such as Meat, Milk, Perishable Food Items, Food grains, Water, Beverages, Cleaning, toiletries products as well as Civil, Mechanical, HVAC, Electrical materials, Chemicals, Spare parts, Tires, Batteries, Lubricants etc. • Work on IBM Maximo 7.6 software to record purchase requests, requests for quotations, and local purchase orders, receiving & issuing daily. • Liaising with the Logistics Company whenever the in-house Transport system is exhausted or busy with other duties. • Administer and supervise the warehouse facility. Coordinate between site & head office logistics section for materials deliveries. • Handling procurement responsibilities of challenging subjects like the purchase of equipment like Tele-handlers, Man lifts, Air Craft Towing Vehicles, duty vehicles like Pick-up trucks, etc. as well as general electrical, civil, mechanical, and cleaning consumables by requesting quotations from local vendors, negotiating prices, getting quotations approved from site managers & finally ensuring purchases within the given period.
• Overseeing the setup of the warehouse facility & logistics from ground root level, hiring work force for the warehouse facility and ensuring the Systematic functioning of the warehouse. • Local Purchase of spare-parts, tires, batteries, lubricants, auto accessories, tools, equipment’s, generators etc. from Kuwait as well as overseas first by generating quotations, negotiating unit price, getting quotes approved from higher management & finally creating purchase orders & purchase contracts finalizing the purchase. Also being involved in procurement of light-duty & heavy-duty vehicles as well as earth moving heavy equipment’s. • Handling transport supervision duties such as coordination of staff, tracking & scheduling service & maintenance of heavy duty & light duty vehicles, ensuring pick-ups and deliveries of procured items & warehouse stock, ensuring all the vehicles in the project are following safety norms as prescribed by the local governing body such as availability of medical kits, fire extinguishers & driving license made available to all the drivers. • Managed receiving, stocking, item slotting, order selecting, issuing and efficiency of the warehouse, worked side by side with other members of the warehouse supervised stock & inventory checks, coordinated with finance department for monthly as well as yearly reports, payments of suppliers and assisted auditors during the end of the year during audit checks. • Worked on computer applications such as Talisman & IBM Maximo 4.0 as well as created invoices, contracts, purchase orders, bill of lading etc. • Planning supply chain schedules in advance in preparation for busy seasonal periods.
• Local purchase of printing & stationery materials for magazine by the name EPC&I, outsourcing stall setup materials during events& exhibitions. • Generating tenders & quotations, creating Purchase Orders and getting it approved by higher management. • Coordinating with vendors, maintaining, filling, printing and organizing suppliers & vendors database. • Managed logistics duties for the company like warehousing, packaging & distribution of the magazines to clients. • Handling petty cash of INR 10,000.
