• Reporting daily attendance of staff to the Director. • Cancel and Replace the work permit. • Handle Labor and Immigration Online system. • Assist Colleagues in Family visa with proper documentation. • Accompany the cancelled employee, release the passport from Airport and collect the Document with exit stamp from Interior Departments in Airport. • Yearly Airline fare report allowances calculation as per staff status and destination. • Maintain and update Employees Master List, Employee Details Sheet and personnel files. • Receive and send emails on behalf of Admin/HR Manager. • Maintain and update electronic database of HR & Payroll records. • Coordinate with recruitment agencies for visa status of hired candidates, arriving, or Returned Candidates, etc. • Coordinate with all the departments of the company. • Handle all HR- related documents such as Job Offers, Promotion, Salary Adjustments, Employment Verification, Warning Memos, Termination, Clearance, Salary Certificates, Employment Certificates and No Objection Certificates as per company policy. • Proper coordination with Payroll Department. • Maintain and Update Cost Summary of all expenses related to labor & visa new application/ Renewal/ cancellation, license renewal, etc. • Post ads in jobsite as per company manpower requirement and standard qualification Collect, Shortlist, prepare/update summary and submit CVs to Management for final short- Listing. Set appointment for candidates’ interview. Prepare offer letter of selected candidates. • Manage the company petty cash and all other expenses related to Utilities, Telecommunication Bills, Office Kitchen and Stationaries. • Ensuring an up to date updates of employee’s information in HR Database and employee file. • Tracking visa applications through Ministry of Labor and UAE immigration company logins. • Handle the company’s licenses and contracts, such as Trade License, Tenancy Contracts, Its renewals. • In-charge of medical insurance (addition, deletion, reimbursement, confirmation of fine From Employees). • Coordinate companies for Staff Insurance from Quotations until distribution of cards.
• Perform payroll accounting, make payroll entries and maintain payroll files for the employees. • Process timesheets, Calculate OT and leave of absences for employees. • Monthly preparation of salary through WPS. Ensure accurate calculation of salaries And overtime. • Prepare/send SIF file and letter to bank every month for processing of salaries. • Conducted employee onboarding, orientation, and off boarding process. • Prepare monthly payroll sheet for labors and staff incorporating necessary changes in employee Details, new appointments, termination, resignation, and salary, increment/decrement Overtime Absent, leave, loans, advances, other deduction and addition. • Daily/ weekly tracking of attendance such as Sick Leaves, Annual Leave, Maternity Leave, other types of Leave and unauthorized absences. • Prepare End of Services & leave salary as per rules & regulation of UAE labor law. • Exit clearance when the employee leaves the organization and handling all HR Administrative Functions. • Coordinate and follow-up the sites for timely submission of Timesheet as per cut-off date. Check And verify accuracy of Time Sheet information. • Save data regarding monthly wise payroll details. • Check and verify P.R.O. Expense Statement. Posting expenses in Cost Summary and submit to Accounts Dept. • Receive daily joining reports and transfers report on daily basis from all locations (Head offices & site offices) and update the same in HRTA system. • Maintain/update/ensure that calculation, information and records are in accordance with UAE Labor Law.
• Electronic Attendance System monitoring and compile data before payroll processing. • Responsible for the preparation and processing of monthly payroll for over 5000+ employees. • Maintain leave records, leave application, and calculating leave balances. • Ensuring all the newly joined employees are feed into the Master Payroll. • HR and Payroll reports for the management. • Calculate wages for overtime earnings and process vacation deductions. • Update and monitor expiry date of employees’ passport, labor card, and visa, company Licenses/Certificates, Vehicle Registration, Insurance Policies, Tenancy Contracts and Notify/process its renewal. • Answers Phone Call and Emails for Employee Verifications for Bank Purposes. • Prepare monthly payroll sheet for labors and staff incorporating necessary changes in employee Details, new appointments, termination, resignation, and salary, increment/decrement Overtime Absent, leave, loans, advances, other deduction and addition. • Ensuring full and final settlement of Exit employees. • Processed accurate and timely payroll for employees using ERP. • Coordinate with PRO for employees Visa, Labor Permit, Medical Insurance application, renewals, and cancellation. • Preparing pay slips and other reports as per management requirement. • Coordinating with vehicle in charge for tracking company’s vehicles and keeping the record for Traffic fines and damages, vehicle maintenance, petrol and diesel etc. • Updating overtime for labors as per the attendance cards received from sites.
