Description:

We are seeking a highly organized and proactive individual to join our team as an Executive Assistant /Operations management. In this role, you will provide comprehensive support to the CEO while also managing various operational aspects of the company.

Responsibilities:

Executive Assistance:

  • Act as the primary point of contact for the CEO and CTO, managing their calendar, emails, and communications.
  • Assist in contract creation and review, ensuring accuracy and compliance with company policies.
  • Support with visa processing for employees and visitors, liaising with relevant authorities as needed.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Provide personal assistance to the CEO, handling tasks such as errands and appointments.

Operations Management:

  • Source and manage suppliers for various goods and services, negotiating contracts and ensuring cost-effectiveness.
  • Handle credit control activities, including invoicing, payment reminders, and collections.
  • Manage payments to suppliers, ensuring timely and accurate processing.
  • Oversee renewals for insurance, rental agreements, and other general suppliers.

  • Multitasking and Problem-Solving: Ability to juggle multiple tasks and priorities while maintaining attention to detail and problem-solving skills.
  • Adaptability to Fast-Paced Environment: Thrives in a fast-paced and pressurized environment, able to prioritize tasks effectively and meet tight deadlines.
  • Excellent Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
  • Proficiency in Office Software: Proficient in Microsoft Office Suite and other relevant software applications.
  • Previous Experience: Prior experience in a similar role, preferably in the UAE market, would be advantageous.
