Receptionist cum Document Controller

Job Description

The Receptionist cum Document Controller is responsible for managing front office operations and ensuring efficient handling of company documentation. The role combines customer-facing reception duties with accurate control, filing, and distribution of project and company documents in line with company procedures.

Key Responsibilities:

Reception Duties:

  • Greet and assist visitors, clients, and vendors in a professional and courteous manner.
  • Manage incoming calls and correspondence; direct them to appropriate departments.
  • Maintain a clean and welcoming reception area.
  • Schedule and coordinate meetings, appointments.
  • Handle courier services, mail distribution, and office supplies inventory.

Document Control Duties:

  • Maintain and manage all important documents for projects and company operations (both electronic and hard copies).
  • Ensure proper document numbering, labeling, filing, and retrieval procedures are followed.
  • Control the issuance, receipt, revision, and archiving of technical and administrative documents.
  • Prepare transmittals and ensure document submissions are in accordance with client and company standards.
  • Assist project teams in ensuring all documentation is up-to-date and readily accessible.
  • Support quality management processes by ensuring document control compliance.

Qualifications & Skills:

Education: Diploma or bachelor’s degree

Experience: 1–2 years of experience in a similar role is an advantage.

Technical Skills:

  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Experience with document control systems

Soft Skills:

  • Excellent communication and organizational skills.
  • Attention to detail and confidentiality.
  • Ability to multitask and manage time effectively.
  • Professional appearance and customer service attitude.
