Role Overview

A remote operational support organization is seeking a highly organized, detail-oriented Virtual Assistant to manage day-to-day administrative demands. The position functions across global time zones, focusing heavily on executive calendar management, secure data organization, documentation processing, and cross-departmental coordination within a fast-paced virtual environment.

Primary Accountabilities

  • Manage complex executive calendars, coordinate virtual meeting logistics, and resolve scheduling conflicts across multiple time zones.

  • Oversee high-volume corporate email correspondence, draft reports, create presentations, and compile accurate meeting summaries.

  • Maintain structured, secure digital filing systems and internal data documentation networks in compliance with data privacy standards.

  • Track project timelines, coordinate multi-department deliverables, and handle customer or partner inquiries with complete professionalism.

  • Input data metrics across company systems, organize travel travel arrangements, process expense receipts, and support virtual event or webinar coordination.

Skills & Experience Required

  • Education & Typing: High School Diploma or equivalent required (Typing speed of at least 40 WPM with high precision is mandatory).

  • Professional Background: Minimum of 2 years of proven experience running executive support, digital assistance, or corporate administrative workflows.

  • Technical Frameworks: Advanced operational mastery of Microsoft Office Suite, Google Workspace, and communication tools like Zoom, Slack, and Microsoft Teams.

  • Core Competencies: Clear, professional verbal and written communication traits coupled with the ability to manage tasks independently under minimal remote supervision.

Preferred Assets

  • Associate degree or certification in Business Administration or a related field.

  • Practical familiarity navigating CRM tools (Salesforce, HubSpot) or project management systems (Asana, ClickUp, Trello).

  • Baseline knowledge of bookkeeping, client invoicing, or direct executive board support.
