Role Overview
Vibrant Emotional Health is seeking a highly organized Administrative Assistant to support the leadership team and program staff within the 988 Suicide & Crisis Lifeline. This remote role is central to maintaining smooth operational workflows, managing executive communication, and coordinating administrative tasks across a vital, nationwide crisis support network.
Primary Accountabilities

Deliver structured administrative support to 988 Lifeline executive leaders and program teams following internal organizational procedures.

Manage complex executive calendars, organize cross-functional meetings, and coordinate administrative schedules.

Oversee credit card reconciliation processes for leadership, collecting receipts, coding expenses, and verifying monthly statements via expense management software.

Coordinate complete executive travel logistics, compiling itineraries, secure documentation packets, and tracking details in project management tools like Asana.

Draft precise meeting minutes, prepare summary notes, and distribute action items to internal and external community stakeholders.

Prepare data spreadsheets and written communications, with the readiness to provide Excel and writing work samples during the evaluation process.
Skills & Experience Required

Education: Associate’s Degree with formal coursework in Business Administration is required; a Bachelor’s Degree in Business Administration is preferred.

Professional Background: 2 to 3 years of proven experience operating as an executive administrative assistant or identical healthcare support position.

Technical Proficiency: High-level mastery of the Microsoft Office Suite (Word, Excel, Outlook), Zoom, project tracking software, and digital expense compilation platforms.

Core Competencies: Strong written and verbal communication traits, sharp organizational project coordination skills, and the capacity to handle confidential information under pressure.

Preferred Asset: Holding a Certified Administrative Professional (CAP) credential or equivalent professional certification is considered a plus.
