Role Overview

Vibrant Emotional Health is seeking a highly organized Administrative Assistant to support the leadership team and program staff within the 988 Suicide & Crisis Lifeline. This remote role is central to maintaining smooth operational workflows, managing executive communication, and coordinating administrative tasks across a vital, nationwide crisis support network.

Primary Accountabilities

  • Deliver structured administrative support to 988 Lifeline executive leaders and program teams following internal organizational procedures.

  • Manage complex executive calendars, organize cross-functional meetings, and coordinate administrative schedules.

  • Oversee credit card reconciliation processes for leadership, collecting receipts, coding expenses, and verifying monthly statements via expense management software.

  • Coordinate complete executive travel logistics, compiling itineraries, secure documentation packets, and tracking details in project management tools like Asana.

  • Draft precise meeting minutes, prepare summary notes, and distribute action items to internal and external community stakeholders.

  • Prepare data spreadsheets and written communications, with the readiness to provide Excel and writing work samples during the evaluation process.

Skills & Experience Required

  • Education: Associate’s Degree with formal coursework in Business Administration is required; a Bachelor’s Degree in Business Administration is preferred.

  • Professional Background: 2 to 3 years of proven experience operating as an executive administrative assistant or identical healthcare support position.

  • Technical Proficiency: High-level mastery of the Microsoft Office Suite (Word, Excel, Outlook), Zoom, project tracking software, and digital expense compilation platforms.

  • Core Competencies: Strong written and verbal communication traits, sharp organizational project coordination skills, and the capacity to handle confidential information under pressure.

  • Preferred Asset: Holding a Certified Administrative Professional (CAP) credential or equivalent professional certification is considered a plus.
