Job Summary
Lexitas is seeking a detail-oriented and customer-focused Client Services Specialist to provide high-quality operational support to legal and corporate clients. Serving as a central point of contact, this remote professional will manage client communication channels, coordinate deposition logistics, maintain corporate databases, and facilitate seamless administrative workflows within a fast-paced environment.
Primary Accountabilities

Manage incoming client email queues, delivering prompt, accurate responses to new and existing corporate partners.

Onboard new clients into the Lexitas ecosystem and provide training and instruction on utilizing the online client portal.

Execute high-accuracy data entry, updating attorney and firm profiles, client preference records, job orders, and case locations.

Organize and schedule deposition service configurations across multiple cross-functional departments.

Monitor operational job queues, track backlogs, update real-time case progression statuses, and manage daily job entries.

Generate comprehensive client job reports, confirm invoice billing accuracy, and collaborate with sales and operations to resolve client disputes.

Support rotational call queue activities and remain flexible for scheduled after-hours or on-call coverage as needed.

Uphold strict document confidentiality protocols, ensuring complete HIPAA compliance when handling sensitive legal or medical records.
Skills & Experience Required

Education: High school diploma or equivalent qualification.

Professional Background: 1 or more years of proven experience working inside a litigation services, legal support desk, or active customer service role.

Technical Aptitude: Proficient navigation of Microsoft Outlook, Word, Adobe Acrobat, and standard office productivity software, alongside accurate, fast data entry skills.

Core Competencies: Clear, professional verbal and written communication traits, a client-first service mentality, and the accountability to balance multiple competing tasks under tight timelines.

Preferred Assets: Prior knowledge of foundational legal terminology, experience reading deposition notices, and a basic understanding of HIPAA guidelines (training will be provided if required).
