Salary: Estimated AED 4,500 – AED 6,500 Per Month

Experience Required: 1–2 Years as an Executive Secretary or Personal Assistant (Construction/Contracting Experience Preferred)

Role Overview

Zoya Developments is seeking a highly organized and professional Secretary to the Chief Operations Officer (COO) to provide comprehensive administrative and executive support. The successful candidate will coordinate the COO’s daily activities, prepare operational reports, maintain project documentation, and ensure smooth communication across internal engineering and development departments.

Primary Accountabilities

  • Administer the COO’s master calendar, corporate appointments, high-level meetings, and daily operational schedules.

  • Formulate, draft, and maintain executive correspondence, detailed progress reports, presentations, and official board meeting minutes.

  • Secure and organize project contracts, technical engineering specifications, and highly confidential operational records.

  • Monitor inbound and outbound departmental correspondence, ensuring timely follow-up on critical project action items.

  • Partner with cross-functional managers to track and compile real estate development status updates for executive review.

Core Competencies

  • Education: Bachelor’s Degree or Diploma in Business Administration or a closely related field.

  • Linguistic Skills: Command of professional English is required; fluency or working knowledge of Arabic is an added advantage.

  • Technical Systems: High proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook); prior experience handling structural document control systems is an asset.

  • Interpersonal Traits: Demonstrated capability to work under pressure, manage multi-layered scheduling priorities, and maintain strict organizational confidentiality.
